Current Hall Chairs & Hall Responsibilities

Job Description

  • coordinating and running all elections
  • coordinating and running all hall meetings
  • reimbursements for spending and budget management
  • attending HouseComm meetings twice a month
  • coordinating and organizing finals meals (breakfasts cooks/cleaners, dinner cooks/cleaners, wake-up calls, shopping lists)
  • aiding and answering queries from hall denizens about any aspect of hall maintenance, culture, conflict, etc.
  • coordinate kitchen cabinet (re-)allocation
  • coordinating and initiating all rooming discussions, including room wars, transfers, and frosh de-doubling
  • maintenance of Floor π roster & gcal
  • coordinating and leading all hall discussions about culture, etc.

Rough Timeline of Responsibilities

Spring (immediately after spring elections)

  • Organize spring finals meals

Fall

  • Send welcome email to frosh, detailing info about hall, wiki, roster, gcal, EC general info, etc.
  • First weekend after classes start:
    • Fall Comm Elections
    • Kitchen Cabinet Reallocations
    • Kitchen Safety Talk (usually right after cabinet reallocations)
  • Second weekend:
    • Fall Budget Meeting

Spring (beginning of term up to spring elections)

  • First weekend after classes start:
    • Spring Comm Elections
    • Spring Kitchen Clean-Out
  • Second weekend:
    • Spring Budget Meeting
  • About three-two weeks before Finals week:
    • Spring election nominations
    • Spring Q&A for hall chairs and rush chairs
    • Spring voting in GRT suite, result released a few days/week before finals week

Finals Meals Responsibilities

Because the new hall chairs are elected right before spring finals meals, they are in charge of finals meals in the spring.

  • It is tradition that the hall chairs cook and clean for the first meal, dinner on Sunday night before finals week.
  • It is important that people can see and change what shifts they are signed up to work for, that cooks can see who else is working with them to coordinate recipe(s), and that all wake-up times are clearly posted for breakfast cooks to use.

Shopping Responsibilities

  • Plan on a block of about 4 hours to purchase goods for all finals meals.
  • Other items on the grocery list come from the people cooking dinner. It can be helpful to compile all of these ingredients into a master list and to consider which locations to purchase items at. Most of the shopping will be done at Costco, but additional trips can be made at Shaw's or Hmart as needed. Coordinate with the GRTs so they can book a zipcar and drive you from location to location. Any substitutions of purchased goods should merit consultation of the cooks using those ingredients.
  • Remember to email hall so that people come and help pick items up from downstairs, and help put them away.
  • It is also useful to have a fridge clean-out before finals week, so there is a single designated fridge and freezer for items.
  • You should also notify cooks where their food is (especially if bought a frozen version of the meat, since it will need time to thaw/extra time to prepare).

Previous Finals Meals Breakfast Grocery List

  • 7 dozen eggs (use up to 18 a day)
  • 15 packages bacon (use up to 3 a day)
  • 1 big frozen bag of sausage at Costco (use up to 16 links a day)
  • 3 boxes pancake mix (we still have some leftovers, check there first, 3 is also probs too many) (use up to 1/2 box a day)
  • 4-5 dozen bagels
  • 4 dozen muffins
  • 2 packages cream cheese or 1 large tub from Costco
  • 4 gallons of juice (probs 2 apple, 2 orange)
  • 2 sticks (0.5 lb) butter
  • 2 gallons milk
  • (most likely, but optional) plenty of (veggie) oil
  • additional salt, pepper, and other things as needed

Rush Chairs

  • N/A, to be elected in spring 2016 for rush 2016
  • Job Description:
    • must be available and on-campus for rush itself, preferably with an early return (at least one rush chair needs to have an early return)
    • rush planning and collecting ideas of how to recruit freshmen
    • organizing rush events and purchasing necessary items
    • managing rush budget
    • coordinating submissions for a hall shirt, to be delivered by rush
    • coordinating and posting hall rush publicity (the page in the booklet and hall rush posters on doors)
